Who Can Access Project and Task Files

Files don’t have their own separate sharing or permission settings; access follows whatever access you already have to the project or task they’re attached to.

How this works in practice:

  • If you’re a member of a project (directly or via a team), you can see and upload files on it and its tasks.
  • If you’ve been given view-only visibility to a project (see Setting Project Visibility), you can see its files but can’t upload, rename, delete, or add links.
  • There’s no way to share an individual file with someone who doesn’t otherwise have access to its project; access is all-or-nothing at the project level, not file by file.

Good to know:

  • If someone needs access to a specific file but shouldn’t see the whole project, the practical option is usually to download it and share it outside PMS, or to grant them proper project access instead.
