Cleaning Up Storage: Deleting Old & Large Files (Admin)
From Storage Management, Admins get a full breakdown of what’s using space and two fast ways to reclaim it by age or by size instead of hunting down files one by one.
Reviewing Where Your Storage Is Going
To review usage before cleaning up:
- Go to Storage Management and open the Overview tab.
- Check Storage Used against your Storage Limit, and the File Age Distribution (files older than 3 months, 6 months, 1 year).
- Check Usage by Category Documents, Images, Archives, Attachments, and Other to see what type of file is taking up the most room.
- Scan Recent Files and Total Files for additional context.
Deleting Old Files
To delete files by age:
- Go to Storage Management and open the Cleanup tab.
- Under Delete Old Files, choose a cutoff: older than 3 months, older than 6 months, or older than 1 year.
- Review the files that match before deleting.
- Confirm you’ll be reminded that this action cannot be undone.
Deleting Large Files
If a handful of oversized files are eating most of your quota, this targets them directly instead of working through age brackets.
To delete files by size:
- Go to Storage Management and open the Cleanup tab.
- Under Delete Large Files, review files larger than 500 MB.
- Select the ones you no longer need.
- Confirm that this cannot be undone.
Good to know:
- Both cleanup actions are permanent deletions, exactly like deleting a file individually; there’s no separate recovery step.
- This page is Admin-only and is meant for organization-wide cleanup. For removing a single file you know you don’t need, deleting it directly from its project or task is simpler.
