Understanding Storage Usage & Limits
Every file your organization uploads across every project and task counts against a single shared storage quota tied to your subscription plan. Here’s how usage, warnings, and limits work together.
Checking Your Usage
To check your storage usage:
- Go to the Storage page (usually under Settings, visible to Admins/Managers).
- Review how much space is used versus your total allowance.
- Optionally drill into the breakdown to see what’s using the most space.
Warning Levels
Rather than letting you hit your storage limit with no warning, PMS raises alerts at a few thresholds as you get closer to full.
- 80% used— a warning notification appears.
- 90% used — a critical notification appears, and an email alert is sent.
- 95% used — a persistent warning is pinned in place until usage drops back down.
- 100% used — uploads are blocked entirely until space is freed up or your limit is increased.
What Happens at 100%
Once your organization hits its limit, new uploads are blocked until there’s room again.
- Any attempt to upload a file or add certain documents fails with a message explaining exactly how much space is needed versus how much remains.
- Existing files, tasks, and projects are unaffected; nothing already uploaded is at risk.
- The block only lifts once usage drops below the limit (by deleting files), or the limit itself is raised.
Requesting More Storage
To request more storage:
- Check your current usage on the Storage page first, to have the numbers on hand.
- Contact your organization’s Admin. Storage limits are tied to your subscription plan and can only be changed at that level.
- Your Admin can review plan options, or, from the Storage Management page, set a custom Storage Limit Override for your organization.
Good to know:
- Storage is organization-wide, not per-project; every file everyone uploads draws from the same pool. Your plan sets the default limit (10 GB unless otherwise configured).
- These alerts automatically clear themselves once usage drops back below the relevant threshold, and only Admins/Managers typically see them, since they’re the ones who can act.
- Regular members and Team Leads can’t change storage limits themselves; that’s an Admin-level setting, covered in Cleaning Up Storage and Configuring Storage Notifications & Preferences if you’re an Admin looking to manage it directly.
