Creating & Setting Up Projects

Using the Templates Library Templates in PMS are reusable pieces of content, not a "start a new project from scratch" wizard, but a shared library you can save things to and pull from later, scoped by who's allowed to see them. How template visibility works: Private, only visible to the person who created it. Project Team, visible to everyone assigned to a specific project. Department Team, visible to everyone in the same department. Organization, visible to everyone in your organization. Good to know: Templates... Setting Project Visibility By default, a project is visible to whoever is directly assigned to it (or part of an assigned team), plus its creator and any Admins/Managers. Visibility settings let an Admin or Manager extend view access to specific additional people, without making them a working member of the project. To grant or change visibility (Admin/Manager only): To grant or change visibility (Admin/Manager only): Open the project and click Manage Members to open the member management panel. Under Assigned Members (Full Access),... How to Create a New Project Every piece of work in PMS lives inside a project. Setting one up correctly at the start makes it much easier to organize tasks, files, and your team later. To create a new project: From the sidebar, go to Projects, then click New Project. Enter a project Name (required; this is the name shown everywhere the project appears) and, optionally, a description (the fuller context of what this project covers). Fill in any details you have: client name (who this... Adding Milestones to a Project Milestones mark the major checkpoints in a project, useful for tracking progress at a glance without digging into every individual task. To add a milestone: Open the project you want to add a milestone to, and then click Edit project. Go to the Milestones section. Click Add Milestone. Give it a title (the checkpoint's name, e.g., "Design Approved") and a due date (when it should be hit). Save the milestone; it starts in "planned" status. Good to know: Only Admins...

Managing Projects

Tracking Project Progress Rather than checking every task individually, a project's status and task breakdown give you a quick read on how far along the work is. What to look at: The project's overall status (e.g., In Progress, Completed). A breakdown of its tasks by status, so you can see at a glance how many are done versus outstanding. Milestones, if the project uses them, each one shows as planned or completed. The project report (see Exporting a Project Report) for a fuller... Reordering Your Projects List If you work across a lot of projects, you can drag them into whatever order makes sense to you. Your most active or important projects don't have to sit wherever they happened to land alphabetically or by creation date. To reorder your projects: Go to your Projects list. Drag a project card up or down to move it. Drop it in the new position; the new order is saved automatically. Good to know: This reordering is about how the list... How to Edit Project Details Project details rarely stay exactly as set up; names, descriptions, dates, and team membership often need updating as work evolves. To edit a project: Open the project you want to update. Click Edit. Update any fields that need changing, including reassigning who's on the project, since membership is edited the same way as any other project detail. Save your changes. Good to know: Only the project's creator, or an organization Admin/Manager, can edit it; this includes adding or removing members.... Completing or Deleting a Project Two different ways a project's active life can end: one preserves everything, the other removes it permanently. Knowing which one you want matters. Marking a Project Complete When a project's work is done, marking it complete records that formally, without hiding it or losing any of its history. To mark a project complete: Open the project and click Edit Project Click Mark as Complete. Confirm the action. Deleting a Project Deleting a project is permanent; it removes the project along...
